Effective October 3, 2026 · ClearStop, LLC
This Privacy Policy describes how ClearStop, LLC (“ClearStop,” “we,” “us”) handles information in the ClearStop app and related websites.
Who we are
ClearStop, LLC provides a field-service app for pool and spa companies and their customers. Each shop is a separate tenant and sees only its own crew and customers.
Information we collect
- Account: name, email, and hashed password.
- Crew profiles: role, phone, address, map pin color, and optional photo.
- Customer and pool records: name, service address, city, phone, email, gate codes, pool notes, animals, and notification preferences.
- Work records: visits, chemicals, estimates, service calls, invoices, payments, messages, time, and payroll settings a shop turns on.
- Photos a tech takes on a visit or service call (kept 7 days, then removed).
- Device and session: IP address, user agent, and session cookies so you stay signed in.
- Optional phone unlock: if you turn on Require unlock, this device uses Face ID, fingerprint, Touch ID, or Windows Hello locally. Face and fingerprint templates never leave the phone and are not stored by ClearStop.
- Location while a tech’s day is running, only if they allow it: used for the map droplet, miles, visit arrive/leave times, and so the shop can see last location while they are on the clock. Sharing is live only while the app is open, and it stops at Clock Out. While a day is open, location points are stored so miles can be counted. They are not a route-playback trail.
- Cleary questions you type, if you use Ask Cleary. See Cleary AI below for what is sent onward.
How we use it
- Operate the shop: today’s route, work orders, billing, payroll the shop enables, and the customer portal.
- Send invoices, receipts, and invites. A finished visit report shows in the customer’s in-app notifications.
- Send one on-the-way notice when En Route Notifications is on: a text, an email, or an in-app message, using the method on the profile.
- Show the route map. Addresses are geocoded and drawn on map tiles. Tapping an address can open Google Maps on the device.
- If the shop uses GPS tracking and a tech allows location, store location points while a day is open so miles can be counted. Those points are not a route-playback trail. Visit start and stop times can fill in, and owners, office, and managers can see last location while the tech is on the clock. Sharing stops at Clock Out.
- Answer ClearStop how-to questions in Ask Cleary.
- Keep the product secure (sessions, sign-in, optional phone unlock, abuse prevention).
Service providers
We do not sell personal information. The ClearStop app does not use advertising identifiers, cross-app tracking, or ad networks. Crew at a shop see the customers and work for that shop. A customer login only opens the pool that shop invited.
These companies process information so ClearStop can run. They provide the same or equal protection of your information:
- xAI — Cleary AI help, only after you allow Cleary AI.
- Resend — email.
- Twilio — text messages (SMS), when texting is turned on.
- Neon — the database.
- Vercel — hosting.
- Stripe — payments.
- Intuit QuickBooks — only for shops that connect it.
- Google (Google Maps Platform) — maps, address lookup, and route planning. Receives street addresses of service locations and, when the map is open, standard device and usage information.
We also use these services when you or the shop turns them on:
- Gmail, only if the shop connects it to send reports and invites.
- Map tiles and geocoding from providers such as Google, CARTO, and OpenStreetMap.
ClearStop website (clearstop.app)
Our marketing website uses the Meta Pixel, a tool from Meta Platforms, to count page visits and waitlist signups and to measure how our ads perform. The Pixel may use cookies and collect information like the pages you visit, your browser and device, and your IP address. We do not send the contents of our waitlist form (your name, email, phone number, or company details) to Meta. You can manage ad personalization in your Facebook or Instagram ad preferences at facebook.com/adpreferences, or block third-party cookies in your browser settings. The ClearStop app itself does not use advertising identifiers, cross-app tracking, or ad networks.
Cleary AI
Cleary can answer from the in-app manual without sending your question to xAI. If you tap Allow Cleary AI, or turn Cleary AI on, ClearStop sends your question and the recent chat to xAI to write a fuller answer. We do not send your name, email, user id, or shop records for that answer.
You can withdraw that consent at any time. Crew: open User Settings and turn Cleary AI off. Customers: open Your account and turn Cleary AI off. Turning it off stops further sends to xAI. Answers from the in-app manual still work.
In-app messages
Messages sent in the app — crew to crew, and customer to the shop — are stored with that shop’s records so the conversation is not lost. Shop crew can read messages with their customers. We do not sell message contents and we do not use them for advertising. Do not send payment card numbers or passwords in messages. Deleting your login does not erase shop message history. If you turn on phone alerts, this device may show a notification when a new chat arrives.
Retention
Visit and service-call photos are removed after 7 days. Account and shop records stay while the account or shop is active. After you delete a login, legally required business and transaction records may be retained or anonymized and disconnected from that login. We do not set one retention period for every shop.
Security
Passwords are stored hashed. Sessions can be revoked when you sign out or delete your login. Optional phone unlock stays on the device. We use access controls so one shop cannot open another shop’s records.
Your choices, deletion, and export
- You can sign out at any time.
- Customers can update pool details and en route notifications in the app.
- You can turn Cleary AI off in User Settings (crew) or Your account (customers).
- You can delete your login from More (crew) or Your account (customers), or from Delete account. That removes your login, password, and sessions. Shop route, visit, and invoice records stay with the company.
- If you cannot sign in, you can request deletion from the public Delete account page. We do not delete a login from an email address alone.
- To ask ClearStop, LLC to delete or export your information, email helpdesk@clearstop.app.
- To change or remove a pool from the route, ask the shop — that is their customer record, not only your login.
